How direct fee payment works
We pay a student's scholarship straight to her college — bank-to-bank, on her behalf, never as cash to a family. Here is the whole journey, with nothing left vague.
Clear steps
Bank-to-bank or fee portal
Cash to families
Written confirmation, every time
Straight to the college, on her behalf
Vedicology Foundation disburses a student's scholarship straight to her college — bank-to-bank, by NEFT or RTGS, or through the institution's fee portal — tuition, hostel, coaching and vocational training fees alike. Direct transfer is our standard: funds are not routed through the student or any family member in the ordinary course.
We pay the institution directly, on her behalf, once her enrolment is confirmed by a current bonafide certificate. Payment is made per student, per semester (or per academic year, for an annual pattern), against the institution's official fee structure. Every transaction is confirmed by email to both the institution and the student. This keeps the money predictable, verifiable, and on schedule — and it protects the student, protects your institution, and assures our donors.
We know that money handling is where institutions, referral partners, and donors most want clarity. So we explain the whole journey here, with nothing left vague — including the one rare exception. We support girls and women aged 18 and above. There are six steps, and they repeat each semester or year for as long as she is supported.
What you can count on
Straight to the institution
Bank-to-bank to the institution, never cash to a family.
Per student, per semester
One student at a time, one semester (or academic year) at a time — no bulk advances.
Only after enrolment
Paid only once a current bonafide certificate confirms her enrolment.
Written confirmation
A confirmation in writing to both you and the student, every time.
Nothing to set up
There is no special account for your institution to create.
The payment journey
Here is exactly what happens, in order, from the moment a student is selected.
- 01
The student is selected
Our Scholarship Committee selects the student and confirms the amount we will pay.
- 02
We send a Letter of Intent
This is a formal email to your institution. It confirms that the student has been selected and states the amount we will pay. It is your assurance that the funds are committed.
- 03
You share the details we need
We ask for three things: your current official fee structure, your bank account or fee-portal details, and a bonafide certificate — a simple document confirming the student is enrolled.
- 04
We transfer the money
We pay your institution directly by NEFT or RTGS, or through your fee portal, for the scholarship amount.
- 05
We confirm the payment
We email a payment confirmation to your institution, and a separate one to the student, for every transfer.
- 06
We repeat it each semester or year
For renewable scholarships, at the start of the next semester or year, we follow the same steps again — after checking the student's continuation marks and a renewed bonafide certificate. The Education Continuity Grant covers one academic year only, and Emergency Assistance is paid once.
That is the whole process. There is nothing for your institution to set up in advance, and no special account to create.
The key principles behind every payment
Seven rules govern every rupee we move — the same way, every time.
| Principle | How it works |
|---|---|
| Direct transfer is our standard | Payment is bank-to-bank, straight to the institution on the student's behalf. Funds are not routed through the student or any family member in the ordinary course. |
| Per student, per semester | We pay one student at a time, one semester at a time — or per academic year for institutions that follow an annual pattern. We do not send bulk advances. |
| Only after enrolment is confirmed | We pay once enrolment is confirmed by a current bonafide certificate. |
| Against the actual fee structure | We pay against your institution's official, current fee structure — never an estimate. Please make sure the structure you share is up to date and complete. |
| Partial funding is the norm | A Merit Scholarship covers 50–75% of tuition, hostel and examination fees. The Education Continuity Grant covers 50–75% of tuition, for one year — exam fees are not included. Coaching and Vocational Training cover 50–75% of the coaching or course fee. Our Scholarship Committee decides the exact share in each case, and the balance is the student's responsibility. The one exception is the Care Leaver Scholarship, which covers 100%. |
| Emergency Assistance is one-time | Emergency Assistance is a one-time payment, made once per student, paid directly to the college. |
| Written confirmation every time | We email a payment confirmation to both the institution and the student for every single transaction. |
A note on full funding: there is one programme where we pay 100% of a student's education — the Care Leaver Scholarship, for a girl leaving a registered Child Care Institution at 18 with no family to return to, once she has cleared Class 12. We pay 100% of her educational expenses — tuition, hostel and examination fees — directly to your institution. That is the only exception to the partial-funding norm, and it is always tied to that specific circumstance.
The exception: reimbursement to the student
Direct transfer to your institution is our standard. In rare, exceptional cases, a student may need to pay your institution directly to secure her place — her documents are delayed, or your payment deadline falls before our verification is complete. When our process concludes, we credit the scholarship amount to her account as a reimbursement, against her receipt from your institution.
This is the exception, never the rule — used only where a timing or paperwork gap makes direct payment impossible, so that a deserving student is never forced out of her studies by a gap in documents. Our firm preference is always to credit your institution's fee account directly.
Reimbursement, only when needed
Her documents are delayed, or your payment deadline falls before our verification is complete.
She pays your institution directly, to secure her place.
When our process concludes, we credit the scholarship amount to her account as a reimbursement, against her receipt from your institution.
If your fees change mid-year
If your institution revises its fee structure after a scholarship is confirmed, please email us the revised official structure. We will check whether the change affects the scholarship amount. If it does, we tell both your institution and the student before the next payment cycle. There are no surprises either way.
What we ask your institution for
Very little — and nothing beyond what we request at each renewal. No special fund, no separate account, and no change to how you collect fees.
At the start
- Your official fee structure — tuition, hostel (if applicable) and examination fees. Your standard fee statement is enough.
- Your bank account or fee-portal details.
- A single point of contact at your institution — a name and an email address.
Each semester or year
- A bonafide certificate — current, and not more than 30 days old when you send it.
- An updated fee structure — only if your fees have changed.
- The student's mark sheet or result, so we can check her continuation marks. We also ask the student directly.
After each payment
- Once the credit reaches your account, a copy of the receipt you issue in the student's name, with a brief acknowledgement.
- This is for our records and donor reporting — never a condition for future payments.
Keeping each other informed
Your institution becomes our fee-payment partner for the length of her programme. A few light commitments, on both sides, keep every payment smooth.
Tell us by email within 15 days if a supported student leaves, takes a break, repeats a semester or year, transfers, or has her enrolment cancelled or suspended.
Tell us if our payment does not match the fee due — whether it is higher or lower.
Reply to renewal requests within a reasonable time — usually within 10 working days.
Wherever possible, at least 30 days' notice by email before any change in payment, with the reason.
Instalments matched to your collection timeline as closely as we can, if you share your schedule at the start of the year.
No interference in your academic processes or administration — and no cost, no commission, no special fund and no change to how you collect fees.
